1. Use five checks instead of one vague score

A single numerical lead score can look precise while hiding the reason behind it. A simpler review records five decisions: Is the company a fit? Is the role relevant? What observable signal supports the timing? Is the information current enough? Is the available contact route suitable?

Mark each decision as yes, uncertain or no. “Uncertain” matters because it tells you where research is still needed. A lead with four yes answers and an uncertain role should not be treated like a confirmed decision-maker.

2. Confirm the company before the contact

Check that the domain belongs to the intended organisation, the business model matches your target, and the company operates in a market you can serve. For ecommerce stores, confirm that the website is an active merchant rather than an agency, directory, parked domain or blog.

Industry and category labels are useful starting signals, not definitive classifications. Read the current website and reject businesses whose real activity conflicts with the stored label. Keep the reason for company fit in a short note.

3. Verify the person’s present role and relevance

A title can become stale when someone changes employers or responsibilities. Check the current company association and decide whether the role is likely to own, influence or use the solution. Do not turn a senior title into a claim about budget or buying authority.

When several employees at one company match, choose the role closest to the problem you solve. Multiple relevant people are not necessarily duplicate leads, but contacting all of them at once may create a poor experience. Coordinate the account-level approach.

4. Record an observable reason for the conversation

A technology, platform, category or public company detail can make research more relevant. It does not prove dissatisfaction, urgency or intent. Write the signal as an observation: “The store uses Shopify and the app we integrate with,” not “The store needs our integration.”

If you cannot state the reason without guessing about private performance, the lead needs more research. This step improves list quality and gives the person doing outreach a factual place to begin.

5. Check the contact route before export

An available email may be old, shared or intended for support. Check whether it fits the purpose and verify important addresses in your own pre-send process. Preserve suppression records and remove duplicates before moving the list into another system.
